01Who we are
Crewz-Control is run by SeaWise Solutions L.L.C-FZ, Dubai ("we"). We make the software that yacht crew and yacht management use for crew records, certificates, travel, rotations and on-board muster. For crew data, the vessel that employs or manages you decides what goes in; we run the system.
02What we collect
- Accounts. Your name, email address and sign-in details (handled by our sign-in provider). Last sign-in time.
- Crew records and documents. Your profile, contact details, nationality, date of birth, passport and seaman's book details, visas, certificates, medical fitness records, emergency contacts, employment history on each vessel, and the files you or the vessel upload (passport scans, certificates).
- Flights. Booking details and the booking emails or files you or the vessel forward to us. Flight tracking is off at launch; if it is switched on, flight numbers and dates go to a flight-data provider.
- Location on swipes. When you swipe IN or OUT on board, or IN at anchor (never underway), the app may ask your phone for a location reading. After each swipe it shows one line: "Location checked" if a reading was used, "Location unknown" if it was refused or unavailable. We store only a result: near, far or unknown. A vessel can switch "Check location on swipes" off; then no location is requested. It is on by default.
- The vessel's position. Phone readings sent with swipes are kept for 24 hours under a pseudonymous key (not your name) and used only to work out where the vessel is, by comparing the devices on board. We keep no location history per person. Exact vessel coordinates are visible only to people with vessel-settings access. For a place name we use our own ports data. Logs and error reports never contain coordinates.
- Muster. Roll-call ticks and your last-known location at an alarm.
- Messages and emails. Emails we send you (invitations, reminders, certificate expiry) and records of delivery. Emails sent to our support address.
- AI processing. Documents you upload and vessel data are sent to an AI provider to read documents and write briefings. AI output is a suggestion that a person reviews.
- Technical logs. Error reports and server logs (no personal values by design; no coordinates). Audit records of who changed what.
03Why we use it
To run the service you or your vessel asked for: sign-in, keeping crew records and certificates current, travel and rotation planning, knowing who is on board, and safety muster. To keep the service secure and fix errors. To meet legal duties.
04How long we keep it
- Raw location readings: 24 hours.
- Near/far/unknown result: 7 days.
- IN/OUT swipe record (who, when, IN or OUT, late): 90 days. Your current IN/OUT state is kept while you are on the vessel.
- Muster roll-call detail: 90 days, then reduced to a summary report kept three years.
- Visitor and contractor sign-ins: 30 days.
- Unreviewed flight drafts: expire after 30 days. Original booking emails and files: deleted 30 days after the booking is reviewed to be confirmed.
- Data export files: deleted shortly after the download link expires.
- Your portable crew profile: until you delete it, or after three years without signing in (we warn you first) to be confirmed. When you delete your account in the crew portal there is a 7-day grace period you can cancel in. If you do not have a crew portal account (for example, you use Crewz-Control as vessel management), ask support@crewzcontrol.ai to delete your account. We cannot delete a profile while you have an active employment link.
- Vessel-held employment records: six years after you leave the vessel (the vessel can set another period). After that the personal details are anonymised and the files are deleted to be confirmed.
- Backups: the database keeps point-in-time history for a short window to be confirmed. Uploaded files are copied nightly to a backup store; a file you or we delete remains there for up to 30 days after the next nightly copy, then is deleted.

We do not sell your data.
06Your rights
You can ask us to give you a copy of your data, correct it, delete it, restrict or object to its use, and move it to another service. You can download an export of your crew profile and delete your account in the crew portal. If you do not have a crew portal account, ask support@crewzcontrol.ai to delete your account. Where we rely on consent you can withdraw it. You can complain to your data protection authority.
